Board meeting February, 2021

Minutes for February 11, 2021 Board Meeting via Zoom conferencing


Present
Board members Megan Taylor, Kandy Dubuque (Presidents), Patrick Gallagher (Vice President), Hal Rooks (Treasurer), Tress Connolly (Secretary), Susan Rooks, Kay O’Connell
Jeff Vogel (Library Director) Leslie Wilson (Librarian), Diana Farnsworth (Librarian), Christine Hansen (Library Board Liaison)
 
Presidents
Kandy Dubuque presided and called the meeting to order at 2:01.  
 
Secretary
Tress sent the minutes for the January meeting to the Board members  in advance of the meeting.  Tress added that she sent 11 thank-you notes for donations and membership renewal since the January meeting.  The February FOL Board Minutes were approved after Susan moved and Patrick seconded the motion.
 
Treasurer
Hal emailed the report to the Board members in advance of the meeting.   Hal added that since his report, FOL has received a generous donation.  Hal has changed our address with Savibank; moved the interest from a CD at Savibank to the FOL account at Pacific Bank; and worked with a representative at Ingram to understand the credit that FOL has with them.  The Treasurer’s Report was approved after Megan moved and Kay seconded the motion.
 
Old Business
 
Budget
 
Patrick asked how FOL is funding the Library’s 2021 budget.  Hal explained that FOL depends on the generosity of donors, and —pre-Covid— revenues from the store operated by volunteers that sells used books no longer needed by the library.  All the money donated or raised by the Friends is spent on library programs or support,or to make library functions such as book purchases possible.  FOL operates in a conservative manner, limiting spending in a given year to no more than was saved from donations the previous year.  FOL is fortunate that donors have responded generously during the pandemic.  
 
After discussion of the budget, Patrick moved and Megan seconded the motion to approve the FOL 2021 budget.  The budget was passed unanimously.  
After the subsequent report from the membership chair and discussion about adding a new line item to cover new membership initiatives, an amendment to to the budget to include this was made.  Susan moved to amend the budget to include the line item and Megan seconded the motion.  The amended budget was approved by the majority of the board.  
 
New Membership
 
Membership
Patrick gave a current membership report.  There were 95 members in 2020.  As of February 2021, there are 33 members.  
 
In an effort to increase membership beyond the appeal in the newsletter, a proposal was made to send an invitation to renew to the 191 people on the membership list.  This will include the membership form and a stamped return envelope.  Patrick made the motion to accept this proposal and Susan seconded it.  The proposal was approved unanimously.  
 
Patrick explained the reasons to pay for a subscription to MailChimp and it was agreed that the additional access would help with tracking and corresponding with members.  
 
Library Updates
 
Leslie and Diana  explained how they are using various funds while the building is closed and how they anticipate using them once the building reopens.  
 
Jeff indicated that the soonest the library will open is in April and that it will be awhile after that that the Friendshop will be allowed to open.  He added that he will allow limited access to the shop by board members to weed and scan books intended for sale to Baker and Taylor Sustainable Shelves.  Kandy and Megan began a trial run to see if this program will work for FOL.  
 
The next board meeting is scheduled for March 11 at 2 o’clock.  
 
Susan motioned to adjourn the meeting and Megan seconded the motion.  The meeting was adjourned at 3:27.
